The Diary
The Diary shows your team's appointments as a timeline, with a column per person: a single day by default, or 3 days, a week or a month (see Choosing a view). Open it from Diary in the sidebar.
Choosing a date
A compact date bar sits at the top left: Today, a back arrow, the current date (click it to open a calendar and jump to any date), and a forward arrow. Below it, a row of days shows two weeks at a time, starting with this week and next: select a day to view it. (The Month view has no row of days, since the month itself shows them.) The arrows move the row back or forward two weeks, or a month at a time in the Month view. In the 3 days and Week views, the days on screen are shaded in the row. The date you're viewing is part of the page address, so you can bookmark or share a link to a specific day.
The timeline
In the Day view the timeline lays out the day from morning to evening, with one column per negotiator (or one row each, in the Horizontal layout). Each column has a heading with the person's name; that heading stays visible as you scroll down. When there are more people than fit, the timeline scrolls sideways - each column keeps a comfortable minimum width rather than squashing. The 3 days and Week views do the same for each day, under the day's date, with each person shown by first name; hover a name to see it in full.
Each appointment block is colour-coded by event type (for example Viewing, Market Appraisal, Callback, Meeting, Miscellaneous) and shows the property or title.
Hover over an appointment to see its full address, who it's with (the applicant on a viewing), whether it's confirmed, its time and any notes.
A cancelled appointment stays on the timeline, greyed out, struck through and marked Cancelled, so the day's record is kept. To take cancelled appointments off the timeline, use hide cancelled in Timeline preferences.
If any of the day's appointments are at properties whose keys are held in the office, a Keys to collect strip appears in the header, listing those properties and how many keys each has in the office. Keys that are checked out or no longer held aren't counted, since they can't be collected. In the 3 days, Week and Month views it is still for the one day you selected, and says which. For the key numbers, use Keys (see Keys to collect today and tomorrow).
While a day is being fetched, the timeline shows a placeholder grid - the hour lines and a column per person you've selected - so you can see it's loading and the layout doesn't jump when the appointments appear. Changing to a day you've already looked at is usually instant; if a change takes a moment, the day already on screen stays visible with a thin progress bar across the top of the timeline rather than being blanked out.
Timeline preferences
By default the timeline shows your own appointments, one day at a time. Select Timeline preferences to change what's shown. It opens a panel from the right; nothing changes until you select Save, and Cancel leaves the Diary as it was. Everything you choose is kept in the page address, so a bookmark or a shared link opens the same Diary.
View - Day, 3 days, Week or Month (see below).
Layout - shown in the Day view: Vertical, with a column for each person and the hours down the side, or Horizontal, with a row for each person and the hours across the top.
Filters - narrow the timeline by event type, hide cancelled appointments, or hide unconfirmed appointments.
Negotiators - search for a person by name, or scroll the list (everyone is grouped under their office). Tick individuals, or use the per-office All / None action to add or remove a whole office at once.
Choosing a view
Day - one day, for as many people as you like.
3 days - the selected day and the two after it, for up to 3 people. Each day has a column for each person.
Week - Monday to Sunday, for up to 3 people. Each day has a column for each person.
Month - the whole month, for one person. Select a day to open it in the Day view, or an appointment to see its details. The month fills the screen, and a busy day shows as many appointments as fit and a +N more link for the rest, such as +2 more.
A view that can't show everyone you've ticked is greyed out, with a note saying why. If you tick more people than the view you chose allows, the Diary shows the nearest view that fits: Month for two or three people becomes Week, and any view for more than three becomes Day. Untick them and your view comes back.
Keys to collect today and tomorrow
Select Keys at the top of the Diary to see the keys to pick up from the office before you set off. It lists today's and tomorrow's appointments, on the Today and Tomorrow tabs, for the people the Diary is showing - whichever day you're looking at. Each one shows the time, the appointment type, the address and the numbers of the keys in the office. Select the address to open the property's Keys tab. Cancelled appointments, and keys that are checked out or no longer held, aren't listed.
Opening an appointment
Click an appointment on the timeline and its details slide in from the right, over the Diary. The Diary stays full width underneath, and ✕ closes the details.
The Details tab shows the date and time, the property (with buttons to view it and get directions), everyone taking part with a tick box for each confirmation, the notes, and a History list of who changed it and when. Tick or untick a box to record a confirmation straight away.
Edit turns the details into the same form used to add an appointment, filled in. Change what you need and select Save. Only what you changed is saved, and moving the time or the people clears the confirmations that no longer apply. If a colleague changed the appointment while you were editing, your save is refused rather than overwriting theirs: close it and open it again to see their change. If you press Esc or click outside the panel with changes you haven't saved, you're asked whether to discard them first; Cancel returns to the details without asking.
Cancel it from the ... menu beside Edit. A prompt asks you to confirm.
Record what happened afterwards on the Follow-up tab - see How do I record an appointment follow-up?.
Adding an appointment
There are two ways to start:
Select New appointment at the top of the Diary.
Click an empty slot on the timeline, or drag across several. The form opens with that person and that time already filled in.
One form adds every kind of appointment. Choose the Event type first: the list holds every type your agency has set up, such as Viewing, Market Appraisal, Meeting or Callback. Then fill in:
Property - needed for a viewing or a market appraisal.
Title - needed for a miscellaneous entry.
Negotiators - you, by default. Add or remove people.
Attendee - an applicant or a contact. A viewing needs the applicant who is viewing.
Date and time - the start and end. The end must be after the start. When you edit an appointment that runs past midnight, the form shows a Start date and an End date, so its times can be changed like any other; moving the start date moves the end date with it.
Notes - optional.
If the time clashes with something already in a negotiator's diary, a warning names the clash. Change the time, or select Add anyway. Select Add to save it: the Diary moves to the day it landed on, and the form gives way to the new appointment's details in the same panel. As when editing, Esc or a click outside asks before throwing away anything you've entered.
Reminders
Lighthouse reminds you in the app before each of your appointments. To change how far ahead, or turn reminders off, see How do I get reminders before my appointments?.
