How do I view a property record?

Open a property from the list to see its summary header, sales pipeline tracker, and the Overview, Matching, Viewings, Offers, Progression, and Contact log tabs.

Opening a property record

From the Properties list, select any row to open that property's record. The record opens on the Overview tab and shows a summary of the property across the top, with tabbed sections beneath it.

To return to the list, select All properties at the top of the record.

The summary header

The header at the top of the record gives you the key facts about the property at a glance:

  • Photo — the property's featured image, or a placeholder tile when no image has been set, with a caption showing the photo and floor plan counts and a badge showing the total image count. Select it to open the media library — see "How do I view and reorder a property's photos and floor plans?".

  • Address — the building name or number and street shown as the title, with the town or area, postcode, and property reference beneath it.

  • Price — for a sales property, the marketing price is shown on the right, along with the agency type and fee where recorded (for example, Marketing price · Sole agency 1.25% + VAT). For a lettings property, the rent is shown instead.

  • Status badges — the marketing mode and the current selling or letting status, shown as colour-coded badges.

  • Seller/Landlord — the primary seller (for a sales property) or landlord (for a letting), with a phone number or email shown beneath their name. If there's more than one owner, only the first is shown here — see "Ownership" below for the full list.

  • Agent — the negotiator assigned to the property. Hover over the name for their job title and contact details.

  • Next call — when a follow-up call is scheduled, a badge shows the next call date.

Select the pencil icon next to the address to edit the property's address, marketing price (or rent for a letting), and negotiator.

Sales pipeline tracker

For sales properties, a pipeline tracker beneath the header shows where the property sits in the selling journey. The stages are:

  1. Appraisal

  2. Instructed

  3. For Sale

  4. Sold STC

  5. Exchanged

  6. Completed

The tracker highlights the property's current stage so you can see how far it has progressed. Lettings properties do not show a pipeline tracker.

You can select any stage in the tracker to preview it without changing the property's actual progress. For example, selecting Appraisal brings back the Market appraisal card on the Overview tab even after the property has moved on to a later stage (see "Overview tab" below). The stage the tracker highlights as current always reflects the property's real progress — selecting a different stage only changes what's shown further down the page, not the property's status.

Record tabs

The property record is organised into tabs. Select a tab to move between sections:

  • Overview — key facts, ownership, market appraisal, and the latest logged contact.

  • Matching — applicants matched against this property.

  • Viewings — booked and completed viewings.

  • Offers — offers made on this property, with summary figures, a list, and a detail panel for accepting, increasing, rejecting, or withdrawing an offer. See "How do I record and manage an offer on a property?" for the full walkthrough.

  • Progression — sale progression milestones.

  • Contact log — calls, emails, and notes logged against the property.

The Offers tab is available now. The remaining sections above are being rolled out — where a tab's content is not yet available, it shows a short "coming soon" message describing what will appear there.

Overview tab

The Overview tab shows four cards:

  • Key facts — bedrooms, bathrooms, receptions, parking spaces, internal and external area, EPC rating, council tax band, tenure, property type, and a list of rooms with their dimensions. Select the pencil icon on the card to edit these. Property type is a multi-select list of the types your organisation's department supports (for example house, bungalow, flat/apartment); internal area is measured in square feet or square metres and external area in acres or hectares, each with its own unit picker. For rooms, add a name and a width/length for each one; a single unit picker for the whole list switches every room between metres (entered as a plain number, for example 4.5) and feet (entered directly as feet and inches, for example 10'6"). Tenure is only shown and editable for sales properties — choose Freehold, Leasehold, Share of freehold, Commonhold, or TBA; picking Leasehold reveals a lease expiry date picker.

  • Ownership — the owner(s) recorded against the property, each with a role badge (Main owner for the primary contact) and a contact channel. Select the pencil icon to add or remove owners: search for a contact by name and select Add, or select the trash icon next to an existing owner to remove them (you can't remove the only remaining owner). This card is only shown for sales properties.

  • Market appraisal — only shown while Appraisal is the stage selected in the pipeline tracker above (see "Sales pipeline tracker"). Shows the booked appointment, valuer, valuation given, proposed fee, and listing decision. Once the property moves past the appraisal stage, this card is hidden — select Appraisal in the tracker to bring it back.

  • Latest contact — the most recent contact log entries (up to three), each showing its type (call, email, letter, message, or offer note), a short preview, who logged it, and when. Select View log to open the full Contact log tab.

If a property won't open

If a record shows Property not found, the property may have been removed or you may not have access to it. If it shows Couldn't load this property, wait a moment and try again.

If you still can't open a property you expect to see, use the Contact Us option in the help menu at the bottom of the screen.
