The Follow-up tab
Every appointment has a Follow-up tab on its details to record what happened and what's next - a viewing, a market appraisal, an inspection, anything. It is the same tab wherever the appointment is opened from: the Diary, a lead, or your Tasks page.
The tab opens with a summary of the appointment: who it was with, the property, when it was, and how overdue the follow-up is. Beside it are call and email buttons for the attendee, so you can make the call without leaving the form.
What to record
In the order the job runs:
Attendance - mark the appointment as Attended or No show. Not recorded is only offered while attendance is genuinely unanswered, so an answer can't be undone by mistake. An appointment that hasn't happened yet isn't asked about at all.
Marking a No show offers Rebook appointment beside it, which opens the same reschedule timeline as the Details tab. Saving there does the whole job in one go: it moves the appointment, records the no show, and clears the outstanding follow-up, so there is no second save to make. If you picked a date under Next follow-up first, that is kept instead of being cleared.
How the viewing went - once a viewing is marked Attended, four more fields appear for the applicant's feedback: Interest level (Very interested, Possible interest or Not interested), Likelihood to offer (High, Medium, Low or Unlikely), Positives and Concerns or objections. Click a selected choice again to clear it. Each text field takes up to 2,000 characters. They are not offered before the viewing is attended, or on a no show.
Once feedback is saved, Send feedback to vendor opens an email to the vendor's main contact (or, if they have no email address, the vendor's first contact who does), filled in with the interest level, likelihood to offer, what they liked, their concerns and the feedback reason. It says who it is going to before you send. Edit it as you like, then select Send. The follow-up note is internal, so it is never included, and neither is who viewed. The button waits while you have unsaved changes, and until a save has gone through, so the vendor gets what you've written. It is only for a property for sale, which has a vendor. If the vendor hasn't agreed to be emailed, it says so and links to where to record their permission.
Feedback - offered on a viewing and on a general Appointment (or wherever a reason is already recorded), since the reason list reads as viewing feedback ("Not Right Size", "Unsuitable Location"). Choose a reason from your agency's list; Clear selection empties the field again. (Adding reasons is a configuration change, not something done from here.) On any other appointment type - a market appraisal, an inspection - there is no Feedback field, and Notes is where you record the outcome instead.
Notes - one note per appointment, carried across every follow-up. It opens with whatever was recorded last time, so add to it rather than typing over it.
Next follow-up - one choice: None, Tomorrow, Next week, or Pick a date. Whichever you choose is spelled out underneath, so you can see the date it works out to before you save.
Save follow-up stays greyed out until something changes, so a save can't quietly do nothing. Cmd+Enter (Ctrl+Enter on Windows) saves from the notes field.
How the follow-up date drives your Tasks page
The follow-up date is what puts an appointment on your Tasks page and what takes it off again. Set Tomorrow, Next week or a date of your own and it's waiting for you then, whether or not you also recorded a feedback reason for the call you just made - the reason describes what happened, it doesn't close the chase.
Two things are worth knowing about None, which clears the follow-up and takes the appointment off your Tasks page:
On a follow-up that was outstanding, it asks what happened first - a feedback reason, a note, or any of a viewing's feedback fields will do. Clearing one with neither would take it off your list with nothing recorded. A No show is the exception, since not turning up is the outcome.
On an appointment with no follow-up scheduled, it simply means there's nothing to chase.
Saving updates the appointment; reopening the tab shows what you last recorded. Moving away with unsaved changes asks before discarding them, and switching to Details and back keeps what you typed.
Working through several at once
Opening a follow-up from your Tasks page adds two shortcuts to the same form - Save and next, which moves you straight on to the next row, and No answer, chase tomorrow, which records the most common outcome of a chase call in one click. See How do I work through my tasks?.
