Starting a new property
There are two ways to start a property for sale:
On Sales > Properties, select Add new.
In global search (Cmd + K on macOS, Ctrl + K on Windows), type what you are looking for and choose Create property, the last row of the Properties group.
Both open the Create property wizard. It has four steps, shown along the top: Owners, Property, Motivation and Review. You can select a step you have already completed to go back to it, and what you entered is kept. Fields marked with * are required. Cancel on the first step takes you back to the Properties list. If you have started filling the wizard in and try to leave, you are asked whether to discard it.
The panel that opens from a lead's vendor still shows the whole form on one page - see How do I create a persona?.
Step 1 - Owners
The owner is a contact, so this step asks for the same details as creating a contact: title, first and last name, mobile and home or work phone, email, address, and record ownership.
First name and Last name are required, and so is at least one phone number or an email address.
Office and Negotiator are required. They start as your own office and yourself. The negotiator manages the property, its viewings and its offers.
Permission to contact and Marketing consent are the owner's own. Check with them and select only the ways they agree to be contacted.
A contact that already exists
When the name, email or phone number you type matches a contact that is already in Reapit, a Possible duplicate found message appears, naming that contact and what matched. You can:
Use existing contact - the step fills in from that contact, and a notice says you are using it. Any changes you make are saved to their contact when you create the property, and nothing you did not change is overwritten. No second contact is created.
View existing record - opens the contact in a new tab, so you can check without leaving the wizard.
Not the same person, continue - hides the message and creates a new contact.
Once you are using an existing contact, Create a new contact instead goes back to a new one.
More than one owner
Add another owner, under the address, adds a second owner. Each extra owner is a contact too, so they have the same fields and the same duplicate check, with these differences:
They share the first owner's office and negotiator.
Same address as the first owner is ticked. Untick it to enter a different address.
Remove takes them out again.
The first owner is the vendor's main contact. Every other owner is linked to the property as well, but not as the main one.
Step 2 - Property
Does the owner live here? is required.
Yes ticks Same as the owner's address, and the property takes the first owner's address. Untick it to enter a different one.
No shows Who lives there and asks for the property's address. When you started from global search with an address or postcode typed in, that text starts the address search. Occupancy details only joins it once you choose Rented or Other - there's nothing to describe for a vacant property.
Department only appears when your organisation has more than one. It decides which property types and styles are offered.
Property type is required when the department has any types set up.
Bedrooms, Bathrooms and Reception rooms each only appear when the department records them.
Style, Situation and Parking only appear when the department offers choices for them. Style follows the type: a house, bungalow or cottage offers forms of building such as terraced or detached, a flat, maisonette or studio offers positions such as ground floor or penthouse, and land, farm or a development plot offers no style.
Special features is folded away. It opens when you select it, or by itself when it holds an answer or fails.
Notes are internal notes about the property.
The property is saved with its coordinates and area where the address can be located. If it cannot be located, the property is still created.
Step 3 - Motivation
What's prompting the move? is the owner's reason for selling, from your organisation's list of selling reasons.
When are they hoping to be moved by? is one of: as soon as possible, within 3 months, within 6 months, within 12 months, or no fixed date. It is saved on the vendor.
Where did they hear about us? is chosen from the list of sources, for example Rightmove or Recommendation, and is saved on the vendor.
Where the vendor cannot hold these two yet, they are saved at the start of the property's notes instead, for example Hoping to be moved by: Within 3 months and Heard about us: Rightmove, above anything you typed under Notes on the Property step. Where did they hear about us? is then typed in rather than chosen.
Step 4 - Review
Review shows the owners, the property and the motivation. Edit on a section takes you back to that step, and Next brings you straight back to Review. Select Create property to save everything.
The property is created for sale with the status Pre-appraisal. It is managed by the first owner's negotiator.
Saving
Selecting Create property saves each owner, then the property, then links every owner to it, and finally saves the vendor's selling reason, move-by answer and source. When it is done, a message confirms it and the new property record opens.
If something goes wrong part-way, a message says what failed, and the parts that were saved stay saved. Select Create property again to carry on from where it stopped: no owner or property is created twice. A problem with an owner's own details takes you back to the Owners step, with the message next to the field. Once an owner, or the property, has been saved, its step shows what was saved and can no longer be changed there; open the record to edit it.
