Where to find the list
Applicant record - open an applicant from Sales > Applicants and select the Viewings tab, next to Matches. It lists every viewing the applicant has attended or is booked for.
Property record - select the Viewings tab. It lists every viewing booked at that property.
Upcoming and past
Use the Upcoming and Past switch above the list. Upcoming viewings are shown soonest first, past viewings latest first. A viewing that is under way stays under Upcoming until its end time, then moves to Past. Each list is split into pages of 20; use the arrows under the list to move between pages.
What each row shows
Date and time - select it to open the viewing.
Property (applicant record) or Applicant (property record).
Negotiator - who is running the viewing.
Confirmation - for example 1/3 confirmed, using the same colours as the appointment details panel.
Attended - Attended or No show, once the outcome has been recorded.
Feedback - what was recorded on the viewing's Follow-up tab, so you can see it without opening the viewing: the interest level and likelihood to offer (for example Very interested · Offer: High), the follow-up reason, then one line each for Positives, Concerns and the Note. Each line is cut short to fit; hover over it to read the whole text, or open the viewing. The note is an internal one, so the property record leaves it out; open the viewing to read it there. An attended viewing with no reason, note or viewing feedback shows a Feedback outstanding badge on both the applicant and property records. It disappears once you record feedback on the viewing's Follow-up tab.
Cancelled viewings stay in the list, so the record of who viewed what is kept: the whole row is greyed out, its date and address are struck through, and it is marked Cancelled, as a cancelled appointment is in the Diary. Attendance isn't shown for a cancelled viewing.
If the list is empty you will see No upcoming viewings or No past viewings.
Reschedule or cancel
Select a row to open the viewing in a panel from the right, the same one the Diary opens it in (see Opening an appointment):
Edit turns the details into a form: change the date and time to reschedule it, or the people, the property or the notes, then Save.
Cancel it from the ... menu beside Edit. A prompt asks you to confirm, and it stays in the list, marked Cancelled.
Record what happened on the Follow-up tab - see How do I record an appointment follow-up?.
Opened from a property's own record, the panel leaves out the link back to that property, but keeps Get directions.
