How do I choose which applicant statuses are Hot, Warm or Cold?

Admins decide which of the agency's applicant statuses mean an applicant is Hot, Warm or Cold, so agents can see who is most motivated.

Overview

Every applicant has a status, such as Hot, General or Cold. Your agency's list of statuses is its own, so the CRM needs to know how motivated each one means an applicant is. An admin sets this once for the whole agency in Settings > Applicant statuses.

Only admins see the Applicant statuses tab.

Choosing a strength for each status

  1. Go to Settings > Applicant statuses.

  2. Each of your applicant statuses is listed with a strength beside it: Hot, Warm, Cold or No strength.

  3. Change any that are wrong. Use No strength for a status that says nothing about motivation, such as a single property enquiry.

  4. Select Save.

The change applies to everyone in your agency straight away. Applicants with a Hot status get a red Hot badge on the applicant list and on their page, so they stand out. Warm applicants get an orange badge and Cold applicants a grey one. A status with no strength shows no badge on the list.

Before anyone has saved

Until an admin saves, statuses are given a strength from their name: Hot is Hot, Warm and General are Warm, Cold is Cold, and any other status has no strength. A status your agency adds later starts the same way until it is saved.

Setting an applicant's status

Agents change an applicant's status by selecting it next to their name at the top of the applicant's page - see How do I see a sales applicant's search?.
